01

Installation and first steps

Use the installation wizard for a new site. Upload the distribution to your web root, create a MySQL or PostgreSQL database, then open your domain and follow the wizard. The included installation guide has the package-specific steps; the online installation guide covers other setup methods and troubleshooting.

  1. Check the PHP version and required extensions against the requirements shipped with this release before uploading.
  2. Prepare a database and keep its host, port, name, username, and password ready.
  3. Run the wizard, then sign in to the dashboard, change the initial administrator password, and activate your license.
  4. Set the website title, logo, contact details, default language, mail delivery, and frontend theme before publishing content.

For manual installation, use the matching database file supplied with your package (for example, the bundled MySQL SQL archive) and configure /core/.env. Do not copy sample passwords to production. Make storage and uploads writable by the web server without granting unrestricted permissions.

02

Dashboard and navigation

The dashboard brings together the site overview, recent content, visitor statistics, incoming messages, contacts, and calendar activity. Its left navigation groups content modules, extra tools, website settings, and webmaster or system settings according to the signed-in user's permissions.

  • Use module shortcuts to open lists and create or edit records.
  • Review notifications and recent activity before responding to submissions or comments.
  • Open the visitor reports for traffic details; administrators can clear visitor logs from the analytics settings when needed.
  • Use the available language controls independently for the admin panel and the public website in version 13.
03

System modules

Open System Modules to configure the sections shown in the dashboard and, where applicable, on the public site. Modules can be public or private. Choose a module type that matches the content, then enable the fields, categories, SEO controls, and presentation options it needs. You can also clone a module as a starting point.

  • Content modules: pages, news or blog posts, services, projects, photo, video, and audio collections, FAQs or accordion content, documentation listings, and data tables.
  • Landing Pages: assemble a standalone page from blocks, with an option to use it as the homepage.
  • Public Forms: collect and review submissions with a field layout you define.
  • Private sections: manage records for authorized dashboard users; some private section types can expose a controlled search page.

After creating a module, review its permissions and menu visibility. Module options determine which tabs and inputs appear when editors create content.

04

Pages, topics, and publishing

Open a content module from the dashboard sidebar and select Create. Enter the title and content, choose categories and media, complete any custom fields, then review publishing and SEO settings. Preview the result before making it public; admins can also preview inactive topics.

  • Search and filter records by title, ID, category, creator, tags, and available fields. Sort the admin table by supported columns and choose which columns to display.
  • Clone a topic to reuse its structure. Use bulk actions to activate, block, or remove selected records.
  • Import records into supported modules, export a listing to Excel, or print the list or topic view.
  • Mark important topics as featured, link related topics, and use next and previous article navigation where the frontend theme supports it.
  • Choose the configured editor (Summernote, CKEditor, or TinyMCE) for rich text. The page builder offers drag and drop layout editing.

Topic availability, category choices, custom inputs, and frontend presentation depend on the module settings. See the content management walkthrough.

05

Landing pages and homepage

Set a module type to Landing Pages in System Modules, then create a page. Add and reorder blocks for dynamic module content, static text, banners, public forms, or custom code. Each block can include its own heading, description, background, and action link.

  1. Create the page and add blocks in the editor.
  2. Set its slug and any page-specific CSS or scripts in the relevant tabs.
  3. Choose whether to display the site header and footer.
  4. To make it the homepage, choose Custom landing page in the homepage settings under frontend settings.

See the landing page guide for the block workflow.

06

Categories, tags, and relationships

Organize module topics into categories with nested levels. Add category descriptions, cover images, and localized slugs as needed. Tags offer another way to group content across pages and can be browsed on the public /tags page when enabled.

  • Assign more than one category to a topic when the module allows it.
  • Choose which custom fields apply to a particular category.
  • Use related topics to connect relevant pages; the relationship custom field can select topics from another module.
  • Tags participate in search, sitemap output, and visit counting in version 13.
07

Custom fields and data tables

Define custom fields in the module's Custom Fields tab to capture information beyond the built-in title, description, images, and publishing fields. Configure labels, order, visibility, and field-specific options before collecting data.

  • Available field patterns include text and long text, rich text, choices, radio or checkbox inputs, multi-checkbox, telephone with country code, file or image inputs, and topic relationships. Form layouts can also contain static text or dividers.
  • Multiple-choice options can have custom colors. Limit fields to selected categories when necessary.
  • Use the dashboard table to filter and sort data, show or hide columns, print, or export records.

Field types and search behavior can differ between public forms, content modules, and private data modules. Preview the resulting form after changing the structure.

08

Public forms and submissions

Create a module of type Public Form, define its fields, and attach the form to a page or landing page. Submissions appear in the form's dashboard view; authorized users can manage, print, and export them. Configure email notifications for new responses if mail is set up.

  1. Create the form in System Modules and set the built-in fields you need.
  2. Add fields in the Custom Fields tab and check required inputs and labels.
  3. Place the form on a public page, test a submission, and verify both the dashboard record and any configured notification.

Use the available spam protection and reCAPTCHA settings for public-facing forms. See the form guide.

09

Media and file management

Use the File Manager to upload and organize images and other files, and insert them in the supported editors. Module content can include a featured image, additional photos, attachments, maps, and embedded or hosted video and audio where the module type supports them.

  • Set image optimization and resizing preferences in SEO settings; custom image sizes can be requested through supported ?w=, ?h=, and ?r= URL parameters.
  • Choose local storage or configured Amazon S3 storage, and set the uploads location according to your hosting setup.
  • Use photo titles and cover images for clearer galleries and category pages.

After changing storage settings, test an upload and verify its public URL before migrating existing media.

10

Banners and sliders

Create banner groups in Ad. Banners and place them in the frontend areas or landing page blocks that support banners. A banner can use an image, video, or custom code depending on its type and placement.

  • Add language-specific text and destination links where needed.
  • Set ordering, visibility, and placement for banners in a group.
  • Preview the banner on desktop and mobile, especially when using embedded code.

See the banner guide.

11

Popups and announcements

Use the Popups tool for promotional messages, announcements, or lead capture. Configure the popup content, appearance, target placement, and active status. Version 13 adds start and end dates so a popup can be scheduled without manual activation at launch time.

Test the popup on smaller screens and confirm that any embedded form or link works in each enabled language.

13

Themes and frontend appearance

Choose the frontend theme and style settings for your site. Version 13 includes the Modern and Velocity themes alongside the existing theme. Theme settings control the logo, favicon, colors, header, footer, and other visual options exposed by the selected theme.

  • Preview the homepage, content pages, forms, and menus after switching themes; each theme may present the same content differently.
  • Configure the public dark mode controls where the theme provides them.
  • Use theme colors and appearance settings before adding custom CSS.
  • Check responsive layouts, icon rendering, and media across themes before publication.
14

Public site and engagement

The public frontend presents module listings, category pages, topics, and search results in the selected theme and language. Configure the homepage, header and footer, social links, sharing controls, and newsletter area in website and frontend settings.

  • Use a public search box and tags to help visitors discover content.
  • Enable comments where appropriate and moderate incoming submissions from the relevant module or inbox.
  • Configure order forms and contact forms for pages that need visitor inquiries, then test confirmation and notification behavior.
  • Choose RSS, cookie notice, WhatsApp contact bubble, and social sign-in options only when they fit the site and are configured.

Public features vary by module and theme. Check each interactive page on desktop and mobile after changing the theme.

15

Website and system settings

Website Settings stores the site's identity and public details: title, description, logo, favicon, contact information, social links, and frontend appearance. System Settings contains service and behavior settings such as email, locale, CAPTCHA, storage, API, AI, and updates, depending on permissions.

  • Set the notification address and select which events should generate email alerts.
  • Configure maintenance mode when the public site must show a temporary message; administrators can still access the dashboard.
  • Set newsletter, WhatsApp bubble, cookie notice, and contact-page presentation where applicable.
  • Use the system's test tools after changing mail, storage, or integration credentials.

The website configuration guide explains the main groups of settings.

16

SEO, search, and indexing

Use the SEO settings and the SEO tab of each public module to manage descriptions, slugs, canonical links, sitemap output, and image optimization. Choose whether slugs follow the preferred language or use English where the option is available.

  • Review module, category, and topic URLs after changing slug rules. Add cover images and descriptions for relevant listing pages.
  • Generate or inspect sitemap links, including tags, and use the available instant indexing setup if you have configured its external service.
  • Use site search to find content by supported fields and tags. Featured topics can be pinned in appropriate listings.
  • Add analytics or other approved scripts using the site-level code fields, then verify output on a public page.

Instant indexing is an optional submission mechanism; appearance in search results depends on the search engine. See the instant indexing guide.

17

Visitor analytics

The built-in visitor analytics reports show visits, page views, geographic and device information, traffic sources, and history over selected date ranges. Open a visitor record for its available visit details and use filters to compare periods.

  • Use the dashboard widgets for a quick overview and the Analytics area for detailed reports.
  • Inspect visitor history when investigating a specific IP or page path.
  • Administrators can clear stored visitor logs from the analytics settings when appropriate.

Geolocation and organization details depend on the configured lookup provider and may be unavailable for some visitors.

18

Contacts and newsletter

Store contacts and members in groups, with names, phone numbers, email addresses, company and country details, status, and notes. Search, filter, export, or clear contact data using the available dashboard actions.

  • Review newsletter subscriptions and the email notification settings before sending campaigns.
  • Use the Mailchimp integration when your site is configured to synchronize newsletter subscribers with that service.
  • Keep group membership and active status current when contacts are added through forms.
19

Inbox and notifications

The dashboard inbox stores messages generated by the contact page and other enabled forms. Open a message to read its details, reply or forward where supported, change its read status, and move it between labels. Draft and sent folders organize outgoing messages.

Configure SMTP or another supported mail connection in System Settings, then send a test message. Notification preferences control which new contact, comment, order, or data events also arrive by email.

20

Calendar

Use the Calendar to record notes, meetings, events, and tasks. Create an entry with its dates and details, then edit, move, resize, or delete it from the calendar. Upcoming entries and notifications can appear on the dashboard.

Check the configured timezone, first day of week, and display language if a date appears at an unexpected time.

21

Users, roles, and permissions

Create dashboard users and assign them to permission groups. Permissions control which modules and tools a user can view, add, edit, delete, or administer. Review access again after adding a module or exposing a previously private section.

  1. Create or edit a permission group for the role.
  2. Grant only the modules and operations the role needs.
  3. Assign the group to the user and verify the menu and allowed actions with a test account.

Keep administrator accounts limited, use strong passwords, and remove access when a user no longer needs it.

22

Languages and translations

Open System Settings → Locale Settings to manage enabled languages. Set each language's code, direction (LTR or RTL), label, and flag. Editors can enter localized content where the module provides language fields; visitors can choose a public language.

  • Use the translation manager to search and edit interface phrases.
  • Set the site's default language and check slugs and menu links in every enabled language.
  • Version 13 lets the admin language change independently of the frontend language.

Deleting a language can remove its associated content. Review it carefully before deletion. See language management.

23

AI assistance

Version 13 adds AI settings and assisted workflows for translating text, writing content, improving SEO copy, and generating images. Configure an available provider and its credentials in AI settings before using these tools.

  • Review generated output for accuracy, tone, links, and language before publishing.
  • Keep API keys in the protected settings area and consider provider usage limits and charges.
  • Use AI suggestions as part of the normal content editing workflow; editors remain responsible for the published result.
24

MCP server

Version 13 introduces MCP tools for authorized AI clients. The initial tool set can check site status, show current visitor statistics, retrieve recent notifications, and read today's agenda appointments.

Configure access through the system's MCP settings and tokens, connect a compatible client, and grant only the access required. Test each tool with a low-privilege account before making it available to others. MCP is separate from the public REST API described below.

25

REST API

The REST API lets external applications read website settings, menus, banners, modules, categories, topics, media, maps, and comments. Submission endpoints support contact messages, orders, comments, and newsletter signups.

  1. Enable the REST API in System Settings and obtain its API key.
  2. Open the bundled API reference for exact endpoint URLs, parameters, and examples.
  3. Test with your own site URL and keep credentials out of browser-visible code where the endpoint requires authentication.

API version and authentication requirements are documented per endpoint in the included reference.

26

External services

Enable only the services your site uses. Available integrations include SMTP for outgoing mail, reCAPTCHA for public forms, Google Maps for location content, Mailchimp for newsletter subscriptions, Amazon S3 for file storage, and instant indexing services for supported SEO workflows.

After entering each provider's credentials, use its test or a small end-to-end submission to confirm that the feature works. Some integrations require an account, API key, or additional provider setup.

27

Custom code and extensions

Smartend provides source code and extension points for developers. Use the supported custom CSS and JavaScript fields at site, module, category, topic, or landing page level rather than editing a core template for a small change. Custom route and controller files can handle deeper application behavior.

  • Place global frontend snippets in the appropriate head or body code settings.
  • Use a landing page block or page-level code field for changes specific to one page.
  • Preview code in all active themes and languages; embedded banner code also renders in the frontend body.

Back up customizations before upgrading and consult the update guide for files that may be overwritten.

28

Updates and support

Before applying an update, back up both database and website files, review the release notes for compatibility and manual steps, and test on a staging copy if possible. The dashboard updater is available for supported releases; major updates may require a manual procedure.

See the current update guide and this document's changelog. If a feature is missing after an update, verify that all files and required database changes were applied. Contact support@smartend.app for product assistance.
